hintNote that either the ‘Client Id’ or the ‘Profile Id’ field must be present. These fields are used to determine if the imported row represents a new or an existing record.

If the ‘Client Id’ is present but you want to change the value this is how to do this. Add the ‘Profile Id’ with a dummy value for the import field. Delete the ‘Client Id’ setting. Add the ‘Client Id’ with the correct value. Delete the ‘Profile Id’.

How do I add a field to the email export fields?

A: This shows the mapped fields to the fields in the email system. Shown left are Mi8 fields. On the right the fields in the email system are shown.

alertB: Using this form you can add new mappings to the list. Enter the name of the email field and select the correct Mi8 field to add the mapping.

If you are going to use the function in the workflow to generate action codes please make sure you map the action code field. This is not an actual field in Mi8 but is available for mapping only in the email field export mappings.

What are the email export field settings used for?

alertThe email field export settings are used when profiles need to be updated in the email system.

Please be careful when editing these settings as this might have significant impact on your ability to send email using Mi8.

What are the email import field settings used for?

The email field import settings are used when importing lists in the connected email system to Mi8. These lists will be shown as external lists in the group list.

How do I add an export field preset?

A: Shows the export field presets. The name and type shown. If the preset is used in a workflow the workflows are linked directly behind.

alertB: If you click on the add button the form shown at B will be displayed. By default this form is hidden.

Note that the delete is immediate and does not have an intermediate page. The delete cannot be undone. Delete is only available when the setting is not used in a workflow.

What are the export field settings used for?

The export field settings are used to make a mapping between the columns in a ‘csv’ file and what fields they correspond to in Mi8.

The export field settings can be defined for the following import types:

  • Profile

  • Transactions

  • Outbound activities

alertThese settings are used in the workflow in an Export element. These settings can be used by more than one Export element.

Note that there are defaults defined that you can use. These defaults are listed in the appendix and are the same as the import defaults.

What are import pre-processors?

There are five (5) different import preprocessors. These are directives for the importer to perform actions on the to be imported data. The different types are:

  • Combine fields. This preprocessor combines two or more fields into a new field. This can be usefull to combine firstname and lastname into a fullname.

  • Combine fields – choose value. This preprocessor combines two or more fields into one. Instead of combining data you can choose the preferred data. When the preferred is empty the preprocessor will choose a filled one. This can be usefull to choose a phonenumber. If you have multiple types you can choose which one you prefer.

  • Add column with data. This can be usefull when data is lacking in the import but is needed by the Mi8. For example a designation if the profiles are company profiles.

  • Change column value. This transmutes found data into a new format. For example if male and female are denoted in a different way than the Mi8 needs you can use this preprocessor to change the data so that the Mi8 accepts the data.

  • Adjust date format. All date formats in the Mi8 are: ‘yyyy-mm-dd hh:mm:ss’. When you have a different dateformat you can use this preprocessor to alter the format so that the Mi8 accepts the date.

How do I manage remote connections to Mi8?

As mentioned in the introduction an SFTP environment is always provided with Mi8. In the remote connections setting you can add and manage connections.

A: Shows the configured connections. The name, type, address is shown. If the connection is used in a workflow the workflows are linked directly behind.

B: If you click on the add connection button the form shown at B will be displayed. By default this form is hidden.

The manage remote connections screen shows an overview of all the current remote connections. Behind are the edit and delete icons.

alertNote that the delete icon is not available if the connection is used in a workflow.

Note that the delete is immediate and does not have an intermediate page. The delete cannot be undone.

hintIf there is a specific folder the files must be written into or retrieved from you can change the path setting. The path is relative from the entry directory so do not use absolute paths.

alertDefault ports are 21 for FTP and 22 for SFTP

We strongly recommend you to use SFTP (Secure FTP) instead of FTP for security reasons.

How do I change Mi8 settings?

Under Mi8 settings you can find a setting for blocking ip addresses from the analytics and managing labels for the 3 fields that can be used depending on your needs.

A: IP addresses can be added here, separated by a comma, to block them from being processed into the analytics.

B: Here you can provide labels for the free fields. These are fields that are only shown when they have a value. The fields are shown in the properties of a profile.

There are eight (8) fields that can contain text.
There are two (2) fields that can contain a date and time.
There are five (5) fields that can contain a decimal number.

How can I assign roles to users?

How does the permission system work?

The permission system is based upon roles. A role provides access to certain elements of the application. A user can be assigned multiple roles. If any of the roles assigned to a person provides access to an element this is granted and cannot be negated by a role that does not provide access.

How do I edit a product?

After double-clicking a product in the product list or using the edit option from the context menu you get the edit screen of the product.

Products have a name, SKU (Stock keeping unit, unique id), price, terms and interests.

Interests are used to determine interests from transactions. The list is comma (,) separated.

How can I import products?

The product list shows all the products or services that your company offers. Most of the patterns that can be made involve those products and the information attached to them.

Products can only be imported using the workflow tool! You cannot add new products using Mi8 interface.

How do I add a remote connection to Mi8?

alertMi8 always comes with a SFTP environment that can be used to place exports and imports. One of the struggles often is where to place data and how to do that in a secure way. To remove the problems associated with mounting up such an environment Mi8 comes with one.

alertWe very much recommend using only SFTP. SFTP stands for FTP over a secured (encrypted) connection. Data is often sensitive and needs to be protected at all times.

Note that SFTP is not the same as FTPS. FTPS is a windows format for securing FTP but is not compatible with SFTP and thus often not usable in a mixed hosting environment.

How do I change the import and export settings?

Mi8 has an open architecture where data that comes in can go out. As part of our philosophy we expect Mi8 to be used in a pre-existing ICT environment. This assumes that Mi8 has to deal with other pieces of software that often are not open or as forgiving as Mi8.

This means that we do not assume that export files can be delivered as we would like to. We instead assume that other systems are rigid in what they can deliver.

The imports and exports of Mi8 can be adjusted to receive or deliver a file that needs to adhere to often rigid field and column orders.

To make this happen the import and export settings deliver a way to map columns in a file to fields in Mi8. The same can be done the other way round; fields can be exported as columns with a different name.

The import of Mi8 is very forgiving. If a row in an import file does not match only that row is skipped from being imported. The same for columns if a column is not mapped that is no problem. The data in that column is just not used.

The benefits of this are many:

  • 3rd party systems can change without breaking a working process.

  • Imports do not “fail” when one row is broken. You will get a notice about what is wrong so you can fix it without interfering with data that is correct.

  • Existing exports from systems like a CRM can be reused by Mi8 without the need for adjustment of the existing process.

  • Less breakage points in the processes of moving and handling data; more stability.

Where can I find the settings?

Under the menu items you can find all settings you might need. Most of the settings are involved when creating imports and exports like the field mappings.
