How do I use search groups?

The group overview shows all the groups that are in the system and shows the type and the amount of profiles are in the group at that time.

The overview shows the amount of profiles that are associated with a group and if the group is used in a workflow.

A group can be double clicked to proceed to the view screen of the group. In this screen a profile list will be shown containing all the profiles that are in the group at that time.

With the right mouse button you can access the contextual menu. You can edit and delete a group from the contextual menu.

How to create a group from a search query

When you are satisfied with the results you can create a group from the result using the “create group from result” button. You will be led to the screen below:

hintYou must provide a name and type for the group.

We suggest using a name that describes the parameters used to create the group.

There are three types of groups:

Static: This is a group that will contain only the profiles matching the query at the time the group was made.

Dynamic: This is a group that is updated every time it is used. This means that the amount of profiles in the group is variable. This type of group is used mostly in the workflow automation.

External: These are a type of groups that are loaded from a connected application. Most often these are lists in the connected email system. These groups cannot be made in Mi8 interface and cannot be edited.

How do I enter a variable date-time?

alertDate fields automatically show a date selection when you put the cursor in the input box.

Important functionality of a date field is it accepts the next values:

today, yesterday, tomorrow, today -<nr>, today +<nr>

What this means is that the date is not fixed. When you create a group the date will stay dynamic. For example the today -14 input means that at a specific time this should be evaluated to 14 days ago.

Note that any parameter beyond yesterday or tomorrow will be disregarded. Yesterday +5 will result in yesterday.

A practical example to use this is for anticipatory patterns. For insight into the sales funnel you can make a dynamic group where the next anticipated transaction is to occur in 5 days: expected date greater or equals today -5
You now have a group that will contain every profile that is expected to make a transaction in 5 days or less. You can further limit this by setting a parameter to limit the expected date to maximum today plus 5: expected date greater or equals today +5. You now have a group that shows every profile expected to make a transaction in 5 to 5 over days over the expected day.

How do I search through Mi8 profiles?

The search functionality can be used to make segments of your profiles. There are a lot of options available to you to make very specific selections based upon multiple cross references.

A: This shows the option for ‘AND’ an ‘OR’ selections. In this case ‘AND’ is selected and all parameters shown must apply to the profile.

B: Here you can add a parameter to the group or add a group of parameters.

C: There are a lot of fields available. Several fields occur in multiple tables. To prevent mistakes all fields are prefixed with a letter. The legend shows what prefix to use for a field (1 through 9). In the picture on the right side there is a short overview of the prefix and number usage.

D: When you hit enter or click the search button a list will be shown of all the profiles that match the criteria. From the results you can create a group.

The options available are listed above. Note that not all options are available with all fields.

alertNote that the options can be tricky!
If you are searching for a profile and you are making a cross reference make sure to use ‘equals’, not the ‘not equals’.
If for instance you are searching for a profile that does not have an inbound activity from social media. If you use ‘not equals’ then you also get results that actually have an inbound activity from social media. What you are actually asking the computer is: Give me everyone that has an inbound activity that is not from social media. If the profile has such a record it passes muster!

What is a company profile?

A company profile is different in the sense that company profiles do not have the social accounts and tab.

Instead company profiles have a list of contact persons.

alertAll contacts that are linked to the company are listed here.

Note that the company profile contains all data about its contactpersons additionally to its own information. Patterns and interests can be quite different on company level than on profile level.

This way you get an overall picture of the interests and needs of the company but you still know who to contact for something specific.

What is the OS and browser tab for on a profile?

The OS and Browser tab shows information about the hardware, os and browser that are used by this profile. If your company has an App you can use this data to determine what type of content the user needs, that fits the device used.

The first two tables are specific for mobile devices. The last table shows an overview about the profile.

What is the social accounts section of a profile used for?

Social accounts can be used to login on the website. If that is done Mi8 will extract data from the social account and place it here.

This way you can measure how many profiles use the social login function on your website.

How to add or edit comments to inbound activities on a profile

You can add/edit comments to inbound activities. These will be shown in the mouse over on the record.

Right click the record for the context menu. Click edit and you will be able to adjust and add comments.

What can I find in the inbound section of a profile?

A: All inbound activities are shown here. These can be from different source channels like socialmedia, email, app, etc.

hintThe inbound activity list shows all the inbound actions taken by the profile. There are several types of interactions: download, video view, read and interaction.

The inbound activities are sorted on the date; the most recent activity is on the top of the list.

How to add or edit comments to outbound activities on a profile

hintYou can add/edit comments to outbound activities. These will be shown in the mouse over on the record.

Right click the record for the context menu. Click edit and you will be able to adjust and add comments.

What can I find under the outbound section of a profile?

alertThe outbound activities list shows the outgoing communication to the profile. If there has been a response, for example a click or a transaction, this is shown with the record (no, read, interaction).

If there was an action code associated with the action this is also shown in the list.

If the profile unsubscribed or if there was a hard bounce on the email address then this is shown in the last 2 columns of the list.

Note that after a hard bounce or an unsubscribe the profile is not going to receive any more emails.

Soft bounces such as “email box full” will not be listed. Only Hard bounces will be shown here.

What can I find under the transactions section of a profile?

alertA: Shows the details of the transaction. The location if known can be used to determine the relative performance of the webshop and physical store for example.

The transaction list shows all the transactions that the customer has made. You can click through on the transaction to see what products were purchased.

When hovering over the record a mouse over effect will display the products contained in the transaction.

What do all the properties of a profile actually mean?

Every pattern has several properties to make sure that the data actually has meaning and has a certain minimum quality.

Threshold: This makes sure there is enough data for the profile to really mean something.

Tolerance: The tolerance determines how sensitive for data the pattern is that does not fit the actual pattern. For example if the tolerance is set to 1: if someone does not buy meat for half a year, then buys meat once, does not mean the pattern is invalid. When he buys meat for a second time the pattern is invalidated and will be removed from this profile.

Anticipation: This is the date of the expected next occurrence. (Not all patterns have this.)

Look back: The time the pattern is based upon. Behavior is not set in stone so we always limit the amount of data to a certain period. This makes sure the pattern has meaning now.

What does the patterns tab show on the profile page?

A: Some patterns have an anticipation date based upon historic data.

The pattern list shows all the patterns that this profile has shown.

All patterns are calculated over 3 periods. This is to provide insight into changes in patterns and is a means of determining the margin of the anticipation. The length of the periods is custom for a specific pattern.

What does the interests tab show in the profile page?

The interest list shows what interests the customer has shown in this behavior. The value can range from 1-100. Depending on the amount of interaction of your company with customers even a low figure can mean a significant interest.

alertNote that generated interests have a limited lifespan. By default this lifespan is 3 months. An inbound activity that generated an interest will no longer count towards the interests after 3 months.

How to add a contact moment

When you clicked the ‘Add contact moment’ button you will be presented with the following screen. Here you can enter the details of the contact moment you had with the profile.

How to disconnect a contact person from a company

In the contact person tab of a company profile you can use the context menu and select disconnect.

You will be provided with an overview screen. Once you click the disconnect button the relation between company and contact (profile) is gone. The data at the company profile will be updated the next time the profile updater tool runs.

How to connect a contact to a company

When you clicked the ‘Connect contact to company’ link in the general tab of a profile you will be presented with the following screen where you can make the actual link between contact person and company.

A: Here you can enter the name of the company. Note that this is an auto complete field so you do not need to know the exact name. Once you select a company you will be shown the details of the company so you can check the data of the company profile.

B: In this place the connect button will be displayed when you have selected a company.

When you make the link you will be redirected back to the contact person profile.

How to read the general tab of the profile page

The general tab of the profile shows the basic CRM like data. If you are editing a company profile you will have an ‘Add contact person’ button on the left under the title.

A: This shows the inbound activity of the profile in the selected date range.

B: There are 3 special fields here providing insight into the profile. The score shows how much information there is about the profile. The discount score indicated how sensitive the profile is for discounts. The loyalty score show the involvement of the profile with your company.

C: This is the place the free fields will be shown if they contain data.

D: Add contact moment to the profile

In the Company field you see a link called: ‘Connect contact to company’. You can use this link to make a company contact person relation for this profile. If the profile is linked to a company profile you will see a link to the company profile instead.

How to read the profile page

The profile list shows all profiles listed on create date descending.

A: You can add a profile or a company profile using these buttons.
When you are editing a company profile this is the place where you can add a contact person.

A profile can be double clicked to proceed to the edit screen of the profile. In this screen more detailed information will be shown.

When you click on either the ‘Add profile’ or ‘Add company’ button you will be provided with a screen where you can enter the basic profile data. This is the same screen as the general tab described below.
